YVS Warehouse Mobility Solution – Streamlining Warehouse Operations with Real-Time ERP Integration

In warehouse operations, speed, accuracy, and visibility determine how efficiently goods move through your supply chain. The Yokogawa Votiva Solutions (YVS) Warehouse Mobility Solution, built on Microsoft Power Apps, connects directly to Microsoft Dynamics 365, empowering warehouse teams to execute their tasks from any smart device while keeping data synchronized in real time.

From controlled inbound receiving to accurate outbound picking, precise inventory tracking, and cycle counting, the solution digitizes every step of the process, enabling operational excellence at scale.

Role-Based Access for Secure Operations

Every warehouse staff member is assigned a unique user ID linked to their role. Role-based permissions ensure each user only sees the menus and functions relevant to their job whether they’re in receiving, picking, inventory control, or supervision.

This setup not only enforces operational security but also allows managers to monitor task progress and user activity directly from the app.

Inbound – Controlled Goods Receipt and QR Code Labeling

The process begins when the office team creates a Purchase Order in Dynamics 365. Details such as product SKUs, lot numbers, and expected quantities are instantly available in the WMS mobile app.

Warehouse staff verify the goods upon arrival by checking quantities against the purchase order. Once confirmed, the system triggers QR Code Product Generation, creating unique labels for each lot or product. These QR codes are printed and affixed to items, ensuring fast identification and accurate tracking throughout subsequent operations.

Outbound – Accurate Order Fulfillment and Movement Tracking

The outbound module supports two key workflows:

Sales Order Picking – When a sales order is confirmed in Dynamics 365, the picking list is sent directly to the mobile app. Staff follow optimized pick paths, scanning QR codes to confirm correct items and quantities. All updates are reflected in D365 in real time, keeping inventory levels accurate.

Movement Picking – For stock disposal or internal movement without a sales order, warehouse staff can initiate and complete the process directly in the app. The system automatically adjusts stock records in Dynamics 365 once the movement is confirmed.

Inventory – Real-Time Stock Control and Transfer Management

The Inventory module gives warehouse managers and staff complete visibility and control over stock levels, locations, and movements, all synchronized in real time with Microsoft Dynamics 365. It covers three main functions:

Item Inquiry – Allows staff to instantly check current stock levels by warehouse location, product code, or batch number. This eliminates the need for manual counts for routine inquiries and ensures decisions are made with accurate, up-to-date data.

Transfer Journal – Used when goods are moved between different storage locations within the same warehouse. Staff initiate the move in the app, scan the product and destination location QR codes, and confirm completion. The system updates D365 immediately, so stock balances in each location remain accurate.

Transfer Order Shipping & Receiving – Designed for inter-warehouse transfers. When goods are shipped from one facility, they are marked as “in transit” in D365. Upon arrival at the destination warehouse, staff use the Transfer Order Receiving function to scan and confirm the goods. Only then does the system update the new warehouse’s inventory records, ensuring complete traceability of the transfer process.

Counting – Maintaining Inventory Accuracy

The Spot Counting function enables scheduled or ad-hoc cycle counts. Staff scan location and product QR codes, enter actual quantities, and the system compares them with D365 records. Discrepancies are flagged, and approved adjustments are applied automatically to maintain data integrity between the physical and system inventories.

Production – Streamlining Manufacturing and Warehouse Integration

The Production module in the YVS Warehouse Mobility Solution ensures seamless coordination between manufacturing and warehouse operations. All production-related transactions from material picking to finished goods reporting, are fully integrated with Microsoft Dynamics 365, enabling real-time updates and full traceability.

Material Picking – Staff scan the Picking List ID to retrieve the required materials for a production order. Picked quantities are entered into the app, with the ability to review totals by item or pallet before completing the transaction. This ensures accurate material issuance and prevents production delays.

Report as Finished – Once production is completed, staff scan the Production Order ID, verify details such as warehouse, journal, and quantities, then affix QR codes to pallets. These codes are scanned into the system, validated, and submitted, instantly updating D365 with the finished goods.

Move Item/Pallet – Allows efficient relocation of items or pallets within the production and storage areas. Staff scan the source pallet’s QR code, enter the quantity, then scan the destination QR code or input the new location to complete the move.

Build Pallet – Used to consolidate products into a single pallet for storage or shipping. Staff input the source location, scan pallet QR codes, specify quantities, and review the compiled pallet list before finalizing.

This structured process minimizes errors, accelerates material flows, and ensures that every step, from raw material issuance to finished goods registration is transparent and fully auditable.
